As part of Zix Email Encryption, ZixMail provides end-to-end email encryption that includes automated key management and delivery to anyone, anywhere through a secure web portal. You can use it with any corporate or web-based email system, and optional plug-ins are available for you to integrate it in with your Microsoft Outlook ® client.

Send-to-Anyone Security

ZixMail makes it easy to securely send and receive confidential information to anyone, anywhere by using our patented Best Method of Delivery. When you send an encrypted email, ZixMail automatically determines if the recipient is another Zix customer by checking ZixDirectory, the world’s largest public key repository. If the recipient is a Zix customer, ZixMail automatically encrypts and sends it using the recipient’s public key. ZixGateway customers receive emails transparently, and ZixMail customers receive the email encrypted in their inbox.

If the recipient is not a Zix customer, ZixMail automatically sends your email to ZixPort ® , a secure messaging portal that can be used to deliver secure email to any email address. Outlook Plug-ins

For Microsoft Outlook users, Zix provides a ZixMail plug-in so you can send and receive encrypted email without ever leaving Outlook. Corporate Key

If you are a company that needs to have employees use ZixMail to protect sensitive corporate data but you need to make sure the company can decrypt employee-encrypted emails, ZixMail provides support for a Corporate Key. When the ZixMail Corporate Key is enabled, any employee-encrypted email can be decrypted without having access to the employees password or private key. With the Corporate Key, encrypted emails can be opened even after the employee has left the company is necessary.

Installing ZixMail

To install ZixMail:

Remove any previous version of ZixMail before continuing with the install.
Close Microsoft Outlook and Microsoft Office applications.
Download and extract the ZixMail installer files.
Browse to the location where you saved the
Select Next through the standard installation screens.
On the last install screen, select Finish.

Note: If you had Outlook open while installing ZixMail, close and re-open the program.

Creating a ZixSignature

To create a ZixSignature:

In ZixSignature Manager, select Create New.
Enter your email address, then enter it again to confirm it.
Select Next.
Reconfirm your email address and select Next.
Enter a case-sensitive Signature Phrase that follows the rules displayed on the screen, then enter it again to confirm and select Next.
Select Next again.
Select Yes to create a recovery file, then select Next.
Select a file location for the recovery file, then select Next.
Select Finished.
Close ZixSignature Manager.
In your Microsoft Outlook Inbox, respond to the ZixMail confirmation email message by selecting the ACCEPT link.
You are taken to the Activation Successful page.
Open ZixSignature Manager and select Update Status.
Select OK
Close ZixSignature Manager.
In Microsoft Outlook, on the ZixMail ribbon, select ZixSignature Manager.
After completing this one-time setup process, you are ready to start sending and receiving ZixMail messages

Composing and Sending ZixMail
Messages

To compose and send a ZixMail message:

Compose your message and attach files in Outlook as usual.
From the composed message, on the Message tab, select Encrypt & Send.
Select the Request a Receipt check box to receive an email message indicating when the recipient decrypts the message.
Ensure that the correct email address is selected.
Enter your Password and select OK.

A progress box shows ZixMail checking signature validity for you and the message recipients.
